AI and data-use statement

Allmata uses AI to do real work in your companies. This statement explains, in plain words, what that means for your data. It sits alongside our Privacy Policy and Terms.

1. What the AI does

  • Reads the tools you connect, read-only by default, to learn how your business works.
  • Prepares work for you: decision cards, reply drafts, reports and recommendations, each with its reason, evidence, confidence and cost.
  • Carries out actions in your tools only after you approve them, or after you switch on autonomy for a specific kind of task.

2. Your data is not training data

  • We do not use your data to train AI models, ours or anyone else's.
  • Every AI call goes through a gateway with settings that prohibit the model provider from training on it and from retaining it (zero retention), to the extent each provider offers those settings.
  • The company Brain is not a model. It is your company's private, versioned memory (decisions, documents, policies and lessons) that Allmata looks up and cites when it works. You can read it, change it and roll it back.
  • What one company's Brain learns is never shared with another company.

3. Which models

Allmata works with several AI model providers and picks, for each role and task, the model that gives the best quality for the cost, after testing them on that kind of task. You can choose Economy, Balanced or Best. Models may change as better ones become available; the no-training and zero-retention settings apply to all of them.

4. Sensitive information

  • Private help-desk notes are never sent to the AI.
  • Card numbers, social security numbers and passwords are removed from support content before and after the model sees it.
  • Personal details of your customers are not stored as Brain facts; only patterns are (for example "refund questions usually mean X").
  • Sign-ins and keys for your tools are kept in a secure vault and never shown to the AI.

5. Numbers you can trust

Figures in reports are computed in code from your connected tools, not written by a model. Estimates (such as hours saved) are always labelled as estimates.

6. Human control

  • Nothing changes in your tools without approval. Money, messages to customers and anything that can't be undone need a second confirm.
  • Autonomy is offered only for a kind of task with a long record of work that needed no correction, is switched on by you, and pauses itself when you correct it.
  • Every action is logged with who approved it, why, what it cost and how to undo it.

7. Limits of AI

AI can make mistakes. Please review cards before approving them. Allmata does not give accounting, tax, legal, financial or investment advice; your licensed professionals remain the authority.

8. Google user data

Allmata's use and transfer of information received from Google APIs will adhere to theGoogle API Services User Data Policy, including the Limited Use requirements. Google user data is never used to train generalized AI or machine-learning models.
